To
The General Manager
Fertilizers Factory
Gulshan-e-Hadeed, Karachi

Dear Sir,

Subject: Suggestion for Gas Load Shedding Problem

This report outlines the suggestions for the recent gas load shedding problem of our fertilizer’s factory.
As we discussed, at last quarter’s management meeting, gas load shedding is increasing day by day and during this time we noticed complains from larger customers regarding how confusing and complicated it has become to do business with us in this situation.
                 My suggestions are as under.
We should do the discussion with employees; informal talks can help it out to solve this problem. No one is happy with the situation, and I sense that some reports are walking away from major customers because the load shedding is so frustrating.
We should clarify the responsibilities for each prospective and current customer/situation. Unfortunately, while solving one problem, we seem to have created another so I will recommend that we should follow a new business strategy, in which the gas will be cut only in specific and mentioned timings by the factory.
Thirdly, In order to combat the problem of gas load shedding I recommend to                                     put a super Liquefied Petroleum Gas (LPG) gas plant in the factory. This plant will help us to keep running the department in case of gas load shedding.

A coordination cell may be set up in the head office to monitor the working of this plant.
A bulletin giving area wise achievements of every department may be circulated.
If there is anything else you would like to know, please call me.

                                                                                                Yours truly,
